Terms of Service

Version 1.0 · Effective 18 September 2026

These are the rules for using the service. They are written in plain language on purpose: what you get at each tier, what a certified document is and is not, what you pay, and what each of us is responsible for.

Full Sinhala and Tamil versions of these terms are being prepared as originals.

1Who we are and what these terms cover

1.1Translate (“we”, “us”) is operated from Colombo, Sri Lanka.

1.2These terms are the agreement between you and us for your use of this website, its translation service, its verification page and its API (together, “the service”).

1.3You accept these terms when you create an account, tick the consent box at sign-up, agree before your first translation, or otherwise use the service. If you do not agree, do not use the service.

1.4If you use the service for an organisation, you confirm you are allowed to accept these terms on its behalf, and “you” then means both you and that organisation.

1.5Our Privacy Policy forms part of these terms. If the two ever conflict about personal data, the Privacy Policy wins.

2Words we use

Document
A file you upload for translation (Word, PDF, photo or scan) together with the text we read from it and every translation made from it.
Draft
A translation produced automatically by software, not checked by a person.
Reviewed
A draft that a qualified human reviewer has corrected line by line.
Certified
A translation that a sworn translator has personally reviewed, signed and sealed, carrying a serial number and QR code.
Sworn translator
A translator enrolled in the Register of Sworn Translators kept by the Ministry of Justice, Sri Lanka.
Seal
The serial number, QR code and signed attestation attached to a certified translation.
Wallet
Your prepaid balance on the service, held in Sri Lankan rupees.
Record
A document that has been submitted for translation. Records can be archived but not deleted (§8).

3Your account

3.1You need an account to translate. You can sign in with Google or with a Lex account. Keep your sign-in secure; everything done from your account counts as done by you until you tell us it was compromised.

3.2You must be at least 18, or use the service with the consent and supervision of a parent or guardian who accepts these terms for you.

3.3Give us a working email address. We send order and certification notices there (§17), and a notice sent to that address counts as delivered.

3.4One person, one account. Do not share an account or create accounts to get around a limit, a suspension or the free allowance.

4The service and the three tiers

We translate documents between Sinhala, Tamil and English — Sri Lanka's three official and administrative languages — in any direction, and offer other languages as they become available. Every document starts as a file you upload. What you receive, and what it is worth legally, depends on the tier you choose:

Tier 1

Draft

A machine translation produced automatically, with numbers, dates and official terms checked by software. A convenience for understanding and drafting only. Not reviewed by a person; not a certified or sworn document.

Tier 2

Reviewed

A qualified human reviewer reads every line against your source and corrects the draft. A quality service for accurate everyday and institutional use. Unless you also order certification, a reviewed translation is not a sworn certification and carries no attestation of legal force.

Tier 3

Certified

A sworn translator personally reviews, signs and attests the translation as a faithful rendering of the document you submitted. Only this tier produces a certified document. It carries a unique serial number and QR code that anyone can verify.

4.1Before we translate, we read your file, tell you the size of the job and, where a charge applies, the price. You approve before work starts.

4.2A certified translation is of the document you submitted. It is not a check on whether that document is genuine, complete or valid, and it does not add any legal effect the original did not have.

4.3We may add, change or withdraw features, languages and tiers. We will not remove a tier from an order you have already paid for.

5Draft and machine output is not a certification

5.1Draft output — including any automatically generated translation, summary or extracted text — is provided for convenience only. It is not a sworn or certified translation, has no legal or official standing, and must not be presented to any court, ministry, embassy, bank or other authority as a certified document.

5.2Only a translation certified through this service by a sworn translator, and marked as certified, is a certified document.

5.3If you are not sure which tier an authority needs, ask that authority before you order. We cannot tell you what a particular office will accept.

6Certified translations and sworn translators

6.1Certified translations are signed by translators enrolled in the Register of Sworn Translators, Ministry of Justice, Sri Lanka. The certifying translator is responsible for the accuracy of the certified translation they sign, and their attestation is their own.

6.2We arrange the order, run the quality process, attach the seal and keep the verification record. We are not a court, a government body or the Ministry of Justice.

6.3Whether an authority accepts a certified translation is always that authority's decision. Some authorities have their own requirements (a physical copy, a specific format, an apostille, a notary). Check before you order; we are not responsible if a document that is correct on our side is refused for a reason of theirs.

6.4A certified translation may be delivered as a digital PDF carrying the seal. Where a physical copy is offered, its cost and delivery time are shown before you order.

6.5We may decline to certify a document — for example if it is illegible, incomplete, appears altered, or its translation would be unlawful — and will refund any charge for work not done.

7Your documents

7.1You may upload Word files, PDFs, photos and scans, within the size limits shown in the app. We check every file before we accept it and may refuse a file that is encrypted, damaged, carries hidden editing history or markup we cannot read, or contains anything unlawful. When we refuse a file we tell you why.

7.2You keep every right you have in the documents you upload. You give us a limited licence to store, read, copy, process and translate them — including with automated systems and, for reviewed and certified tiers, with human reviewers and translators — solely to provide the service to you, and to keep the records §8 and §12 describe.

7.3Once translation starts, the uploaded file is locked as the record of what was translated. To translate a different or corrected file, start a new document.

7.4We do not use your documents to train language models, and our processors are contractually barred from doing so.

7.5You own the translations we deliver to you, subject to any rights in the source document. The seal, serial number and verification record remain ours.

8Keeping, archiving and deleting documents

8.1Before you submit a document for translation you can delete it. It moves to the trash and, after 30 days, we permanently remove the file and its text from our systems.

8.2Once you submit a document for translation it becomes part of your record. From then on it can be archived, but not deleted, by you. This is what makes a certified translation later checkable against what was actually translated.

8.3Certified documents are kept for as long as the seal must remain verifiable. Even after your account closes, we retain the certification record (serial, content fingerprint, languages, date, status and the certifying translator) so that the serial number can keep being verified. The verification page never shows the document's contents.

8.4Other documents in your account are kept until you close your account or ask us to remove them (§16), except where we must keep them to meet a legal duty or to defend a claim.

8.5Automatic drafts and text we read from your file may be kept for a short time in system caches and backups after deletion, and are then removed on the backup cycle.

9Your responsibilities and acceptable use

When you use the service you agree to:

  • Upload only documents that are complete, legible and lawful, and that you have the right to submit for translation.
  • Not use the service for unlawful, fraudulent, infringing, defamatory or abusive purposes, or to translate material you are not permitted to hold.
  • Not disrupt, overload, probe, scrape or reverse-engineer the service, and not use automated access except through the API on the terms we publish for it.
  • Never alter, forge, copy or misrepresent a certified document, its serial number, seal or QR code — and never present a draft or reviewed translation as a certified one.
  • Check any translation for your own purposes before you rely on it, especially names, numbers, dates and amounts.
  • Pay for what you order (§10).

Misusing a seal or presenting machine output as certified is a serious breach. We will close the account, revoke the seals involved, and may report the matter to the authorities.

10Fees, the prepaid wallet and refunds

10.1Draft translations include a free monthly allowance. Reviewed and certified translations, and any draft translation beyond the free allowance, are paid from a prepaid wallet held in Sri Lankan rupees (Rs). Each month the free allowance is used first, then your wallet.

10.2The price is shown before you confirm an order, and you approve it. Prices include applicable taxes unless the price screen says otherwise. Where we show an amount in another currency, it is for information; the charge is in rupees.

10.3Top-ups add funds to your wallet through the payment methods we offer. The wallet is for use on this service only. It is not a bank account, a deposit, an e-money product or a payment service, and it does not earn interest.

10.4Draft translations are delivered instantly and are non-refundable once produced.

10.5Reviewed and certified orders can be cancelled for a full refund to your wallet until a reviewer or translator has started work. Once work has started, we refund the part not yet performed, on a fair assessment. If we cannot complete an order you have paid for, we refund the whole charge to your wallet.

10.6If a certified translation contains an error of ours or of the certifying translator, we correct it and issue a corrected certified document at no charge (§12.3).

10.7Unused wallet balance can be refunded to the original payment method on request when you close your account, less any amounts owed, within 30 days of the request. We may keep a small balance that is below our payment provider's minimum transfer.

10.8We may change prices and the free allowance at any time. A change never affects an order you have already approved.

10.9While we are not charging for the service, §10 applies to any charge we introduce later; until then, everything is free and no wallet is needed.

11How long it takes

11.1Drafts are usually ready within minutes. Reading a scanned document and translating a long document take longer; the app shows you the stage your document is at.

11.2Certified translations are usually returned within 1–2 working days. The estimate shown when you order is our honest expectation, not a guarantee: sworn translators are people, and a difficult document can take longer. If an order will be materially late, we tell you and you may cancel under §10.5.

11.3Working days are Monday to Friday, excluding Sri Lankan public holidays.

12Verification, seals, corrections and revocation

12.1Every certified document carries a unique serial number and a QR code. Anyone can check it on our verification page — free, without an account. The page shows only the document's status, languages, certification date and the certifying translator's registration; it never shows the document's contents.

12.2A seal is valid while the verification page reports it as valid. Anyone relying on a certified document should check the serial rather than the paper.

12.3If a certified translation needs correcting, we issue a new certified document with a new serial and mark the earlier one as superseded, pointing to the replacement.

12.4We may mark a seal revoked if it was issued in error, if the source document turns out to be forged or altered, if it was obtained through fraud or misrepresentation, or if the law requires it. A revoked or superseded seal stays on record so that anyone checking the serial sees its true status.

12.5You must not remove, cover or alter a seal, serial or QR code, and must not attach a seal to any other document.

13Accuracy, disclaimers and limits of liability

13.1We take real care with every translation, and the reviewed and certified tiers exist to raise accuracy. But no translation — human or machine — can be guaranteed free of error, and meaning can legitimately differ between renderings. You are responsible for checking that a translation is fit for your purpose before you rely on it or submit it.

13.2To the extent the law allows, the service is provided “as is” and “as available”. We do not promise that it will be uninterrupted or error-free, that a translation will be accepted by any authority, or that a draft will be suitable for any particular purpose.

13.3To the extent the law allows, we are not liable for indirect or consequential loss, loss of profit, business, opportunity or reputation, or for loss caused by your reliance on a draft translation.

13.4Where we are found liable in connection with a paid order, our total liability for that order is limited to the fee you paid for it. Where we are found liable in connection with free use of the service, our total liability is limited to Rs 10,000.

13.5Nothing in these terms limits liability that cannot lawfully be limited — including for death or personal injury caused by negligence, for fraud, or the certifying translator's own attestation under the law that governs sworn translators.

13.6Any claim against us must be brought within one year of the event that gives rise to it.

14Your promise to cover us

You will compensate us, and the translators and reviewers who work through the service, for losses, costs and claims that arise because you uploaded a document you had no right to submit, misused a seal or a certified document, presented a draft as certified, or otherwise broke these terms or the law.

15Ownership

15.1The service — its software, design, text, glossaries, seals, serial scheme and verification system — belongs to us or our licensors. These terms give you the right to use it, not to copy it.

15.2You may not reproduce the service's name, logo or seal design, or suggest we endorse you or your documents, without written permission.

15.3Corrections you make to a transcription, and feedback you give us, may be used to improve the service without any obligation to you.

16Privacy and your data

16.1How we collect, use and protect your personal data — and your rights under Sri Lanka's Personal Data Protection Act, No. 9 of 2022 — is set out in our Privacy Policy.

16.2We do not sell or rent your personal data or the text you submit. Documents are shared only with the reviewer or sworn translator working on your order, and with the processors we use to run the service, under confidentiality terms.

16.3Automated processing of your documents may take place outside Sri Lanka, with providers contractually barred from using your text to train their models.

16.4To exercise a data right — access, correction, deletion — write to us (§23). Deletion is subject to the record and certification retention in §8.

17Messages from us

We send service messages by email: when a document is received, when a translation is ready, when a certified document is issued, superseded or revoked, when your wallet changes, and when these terms change. These are part of the service and cannot be turned off while you have an account. Every genuine message from us links to our verification page; we never ask for your password by email.

18Suspending or closing accounts

18.1You can close your account at any time from Settings. Closing it removes your unsubmitted documents; records and certification data are kept as §8 describes; unused wallet balance is handled under §10.7.

18.2We may suspend or close an account, refuse an order, or withdraw a seal if you break these terms, if we reasonably suspect fraud or misuse, or if the law requires it. Where it is fair to do so, we warn you first and give you a chance to put things right.

18.3If we close your account without cause, we refund your unused wallet balance and any paid order not yet delivered.

18.4Sections 7.2, 8, 12, 13, 14, 15, 21 and 22 continue to apply after an account closes.

19Things outside our control

We are not responsible for delay or failure caused by events beyond our reasonable control — power or network failure, a provider outage, industrial action, a natural disaster, a public emergency or an act of government. If such an event stops us completing a paid order, we refund the charge to your wallet.

20Changes to these terms

20.1We may update these terms as the service grows. The version number and effective date at the top tell you which version applies.

20.2For material changes we give at least 14 days' notice by email and in the app before they take effect, and ask you to accept the new terms before your next translation. Continuing to use the service after that date means you accept the revised terms; if you do not, close your account before the date and §18.1 applies.

20.3An order is governed by the terms in force when you approved it.

21Law and disputes

21.1These terms are governed by the laws of Sri Lanka.

21.2If something goes wrong, tell us first (§23). We aim to acknowledge a complaint within 2 working days and to resolve it within 14.

21.3Any dispute that we cannot resolve together is subject to the exclusive jurisdiction of the courts of Sri Lanka, sitting in Colombo. Nothing in this section removes rights you have as a consumer under Sri Lankan law.

22General

22.1Whole agreement. These terms, the Privacy Policy and the price shown on an order are the whole agreement between us for the service.

22.2If a part fails. If any part of these terms is found unenforceable, the rest still applies.

22.3No waiver. If we do not enforce a term straight away, we can still enforce it later.

22.4Transfer. You may not transfer your account or these terms to anyone else. We may transfer them to a successor that takes over the service, and will tell you if we do.

22.5Languages. These terms are published in English, Sinhala and Tamil. Each is an original. If a wording difference between versions leads to a dispute, the English text is used to interpret the others until the Sinhala and Tamil originals are formally adopted.

22.6Third parties. Sworn translators and reviewers may rely on §13 and §14. No one else has rights under these terms.
